Aspen94 Zoho CRM Extension | Parent-Child Sync | Setup Guide

What This Extension Does

The Parent-Child Sync extension keeps your Contacts automatically in sync with their parent Account. You define which Account fields should map to which Contact fields — the extension handles the rest using Zoho CRM workflow automation.

  • Push on Account update — mapped field values are pushed to all related Contacts
  • Pull on Contact create/edit — latest values are pulled from the parent Account
  • Toggle workflows — enable or disable individual sync workflows from settings
  • Secure storage — field mappings saved as an org-level variable in Zoho CRM

No coding experience needed — just follow the steps.


Step 1: Install the Extension

Use the installation link provided by your Aspen94 consultant, or locate Aspen94 – Parent-Child Automation in the Zoho Marketplace.


Step 2: Open the Extension Settings

  • In Zoho CRM, click the Marketplace icon in the top navigation bar
  • Click on the Installed tab
  • Find Aspen94 – Parent-Child Automation and click Settings

The settings page displays three sections:

  • Synchronization Workflows — lists sync workflows with toggle switches
  • Behavior — describes the sync direction
  • Field Mapping — where you define which fields to sync

Step 3: Review Synchronization Workflows

Use the toggle switch next to each workflow to turn it on or off. Changes are applied immediately — no save needed.

ℹ If the workflow table shows "No workflows found", make sure the ASPEN94_SYNC_ workflow rules exist in your CRM.


Step 4: Understand the Sync Behavior

⚠ Sync only applies to Contacts linked to an Account. Contacts without a parent Account will not be affected.


Step 5: Configure Field Mappings

Adding a Mapping

  • Scroll down to the Field Mapping section
  • Click + Add Mapping
  • Blue dropdown (left) — select the Account field to sync from
  • Green dropdown (right) — select the Contact field to sync into

Supported Field Types

Text, Phone, Email, Integer, Double (decimal), Picklist

Mismatched fields are highlighted in red — fix before saving.

Step 6: Save Your Mappings

  • Review your field mappings — ensure no red (invalid) rows
  • Click Save Mappings
  • Once saved, confirmation appears and you are redirected to CRM Home

Important Notes

  • Sync only runs on the standard Contacts layout
  • Existing Contacts update the next time they are edited
  • If a mapped Account field is empty, the Contact field will not be overwritten
  • Workflow toggles take effect immediately
  • Saving new mappings will overwrite the previous configuration

Best Practices

  • Only map fields that are consistently filled in on Accounts
  • Use matching field types to prevent validation errors
  • Test on a single Account record before rolling out broadly
  • Disable workflows temporarily during data imports
